Organizing an interview is an essential process for acquiring information efficiently, particularly in investigative or professional settings (Horan, 2024; Albrecht et al., 2006; Abdullah et al., 2024). An effectively organized interview offers structure, clarity of purpose, and a coherent progression of dialogue. It enables the interviewer to anticipate potential reactions, formulate suitable questions, and provide a favorable atmosphere for dialogue. Effective preparation reduces misconceptions and enhances the probability of acquiring accurate and relevant information.
A crucial element of interview preparation is the utilization of suitable language and question types. The language used in interviews must be explicit, impartial, and non-threatening to promote transparency and diminish defensiveness. Various question types—namely open-ended, closed-ended, probing, and leading questions—fulfill specific functions and should be employed carefully. Moreover, comprehending the components of conversation, such as tone, pacing, listening abilities, and non-verbal signals, is essential for establishing rapport and sustaining a constructive discourse between the interviewer and interviewee.
Nonetheless, communication during interviews may be affected by numerous inhibitors and facilitators. Communication inhibitors, like fear, anxiety, cultural obstacles, or inadequately formulated inquiries, can obstruct the exchange of information and diminish the trustworthiness of responses. Conversely, communication facilitators—such as active listening, empathy, clarity, and a supportive environment—improve interaction quality and promote more open and comprehensive responses. By identifying and addressing these issues, interviewers can markedly enhance the efficacy and results of their interviews.
